+ Why is VAT charged on my invoice?

As the IFEAT 2023 Conference location is Berlin the services take place in Germany and we are following the German authority's advice to add VAT accordingly.

Please note that IFEAT is providing services only and not goods and it is a European registration and service cannot be exported. Therefore, VAT has to be added to all invoices.

The VAT "Reverse Charge" is applied to Conference advertising only as it is not a taxable transaction in Germany whilst all other services are taxable. You can however check with your tax advisor if it would be possible for you to claim back any German VAT.

+ When does the Early Bird registration rate end?

The Early Bird rate ends at midnight (BST) on 31st July 2023. From 1st August the standard rate will apply.

+ What is included in an Accompanying Person’s ticket and who can apply for one?

The Accompanying Person ticket includes access to the Welcome Reception and the Closing Banquet, lunches and tea and coffee on all Conference days. This ticket does not allow access to the Conference, exhibition, meeting rooms and/or networking areas.

The accompanying person ticket is valid for either a spouse/family partner and/or a son/daughter under 21 years of age. There can be a maximum of two accompanying persons per delegate.

Please note: Business partners do not qualify as Accompanying Persons.

+ When will I receive a confirmation for my purchase of a Delegate Ticket or any Conference Products (Sponsorship, Advertising, Meeting Room or Exhibition Booth)?

When one of the tickets is purchased, you will receive an automated system confirmation and/or pro forma invoice depending upon your payment method.  Once payment is received into our account*, you will receive a PAID invoice.

*For credit card payments please allow 3-4 working days to receive this PAID invoice.  If paying by bank transfer, your purchase is not fully confirmed until the funds are received, at which time you will receive the PAID invoice.  

Please note: a Sponsorship/Advertising/Meeting Room/Exhibition Booth is not allocated until the payment has been received.  It is not possible to reserve these items without full payment.  A full confirmation email requesting additional information will be sent once payment is received.

+ How do I make group hotel bookings at the InterContinental?

+ What are the visa requirements for Germany?

We recommend that anyone who needs to apply for a visa does so as soon as they have booked and paid for their delegate tickets. As the world continues to return to normal after the COVID pandemic, delays in visa issues are a possibility, and it is the applicant’s responsibility to ensure that visas have been applied for in enough time. IFEAT has provided the below information but for the most up to date information please visit the government website for your country.

Germany, as a member state of the Schengen Area, permits the citizens of 62 countries to enter Germany visa free for the purpose of tourism/visiting and doing business, for periods shorter than 90 days within a 180-day period. If you are a citizen of one of the European Countries within the Schengen Area Scheme, you can travel to Germany without requiring a visa. The list of countries within the Schengen area can be found at https://www.germany-visa.org/schengen-area/

If you are a resident of the UK, and hold a full British Citizen passport, you do not require a visa for Germany unless staying over 3 months. For more information visit https://www.gov.uk/foreign-travel-advice/germany/entry-requirements

If you are a citizen of any country that is not listed as visa exempt, you must obtain a visa, prior to your trip to Germany. 

If you require a visa invitation letter, these will only be issued to delegates who have already bought and paid for delegate tickets. Please email [email protected] with the following details:

  • Conference ticket order number(s)
  • Full name as it appears on your passport
  • Passport number
  • Passport expiry number
+ Can I choose the day(s) I want for Day Tickets?

Yes, you will be able to select the specific day(s) you want to attend when buying Day Tickets.  Remember that is better value for money to purchase a full Delegate Ticket if you want to attend for more than 2 days.

+ Do you offer any discounts?

An “Early Bird” discount will automatically be included in any full Delegate Tickets purchased before 30th June 2023. The Early Bird Discount is not applicable on Accompanying Person or Day Tickets. IFEAT Members also benefit from an additional discount on all tickets and Conference products; if you are a Member please ensure you have logged in before purchasing any tickets or conference products.

+ Do you offer bulk ticket purchase discounts?

No. Bulk ticket discounts are not offered.

+ Can I purchase a separate or additional Closing Banquet ticket?

No, tickets for the Closing Banquet will not be for sale separately but are included in the full Delegate and Accompanying Person tickets.

If a spouse wishes to attend the Closing Banquet, they would need to purchase either a full Delegate or an Accompanying Person ticket which include access to the Closing Banquet.

+ Will the IFEAT 2023 Berlin Conference be a hybrid event?

No, it will only be in-person this year.

+ Will you use Whova app again this year?

Yes, we will use the Whova app for networking again this year. The Conference sessions will not be streamed to the platform this year because the event will only be in-person. There will also be no virtual exhibition booths. You can download it here: https://whova.com/download/

+ When will I have access to Whova?

10th July.

Whova allows access 90 days before the commencement of the Conference. Access will be available to all registered delegates from 10th July. Please note when registering you must tick "yes" if you want to be included on Whova (which is the delegate list). Only delegates who have paid in full will appear on the Whova app.

+ Will IFEAT give out a delegate list?

Whova is the live delegate list. Due to GDPR delegates’ email address and telephone numbers will not be made public through the delegate listing or otherwise. To further enable networking among delegates at the Conference, we will share delegate names, job title, company name, and country or city with other delegates, exhibitors, and sponsors via our secure networking service - the official IFEAT Conference mobile application Whova. Access will be available from 10th July.

If a delegate chooses to message another delegate, the message will be sent from the delegate’s profile on Whova. If a delegate chooses to reply, further communication will continue through the delegates’ chat or video calling function. The Whova app serves as a delegate list.

+ How can I upgrade my registration?

If you wish to upgrade from a Day Ticket to a full Delegate Ticket, please contact [email protected], quoting your invoice reference.

+ Do I need to bring a printed ticket?

Printed tickets are not issued.  It is a good idea to have a copy of your final invoice with you when you arrive at the Conference.
