Meeting rooms are available to IFEAT MEMBERS ONLY for the first three weeks after registration opens and will be sold on a first come first served basis.

For reference, the exhibition and networking will take place in the Bayshore Grand Ballroom and Foyer on the ground floor of the conference space. The plenary sessions will take place in the Stanley Park Ballroom on the 2nd floor of the conference space.

 

2nd or ground floor conference space rooms SOLD OUT

  • These are premium location rooms adjacent to the main conference space.
  • They will be set up as standard with 1 table, 4 chairs and a table for refreshments.

Tower building, mezzanine level rooms SOLD OUT

  • These are located in the tower building of the Westin Bayshore Hotel which is approx. a 3 min walk from the conference space, through the hotel lobby areas and up in the lift.
  • They will be set up as standard with 1 table, 4 chairs and a table for refreshments.

Converted bedrooms – STILL AVAILABLE

  • These are located on the 2nd floor of the bedroom wing of the Westin Bayshore Hotel. Travel time is approx. 3 mins.
  • All non-fixed items of furniture will be removed and they will be set up as standard with 1 table, 4 chairs and a table for refreshments.

  • Only IFEAT 2022 Vancouver Conference delegates are permitted to attend meetings at the Westin Bayshore Hotel.
  • Meeting rooms cannot be reserved/held without an online booking.
  • Due to demand, only one meeting room per company is permitted, this includes regional offices.
  • Companies requiring more than one meeting room can be placed on a waiting list for a second room.
  • None of the meeting rooms can be further split down to make smaller rooms.
  • Exact rooms within the categories will be allocated by IFEAT and you will be notified of your allocated room name/number, along with confirmation of booking, once full payment has been received.
  • Within your confirmation will be the contact details of IFEAT’s approved contractor where you will be able to request changes to the set up and order additional equipment and any catering.
  • Basic internet access is included, upgrades can be arranged through IFEAT’s approved contractor.
  • Access to meeting rooms and converted bedrooms is from 08:00 hrs on Monday 10th October until 17:00 hrs on Thursday 13th October.
  • All meeting rooms and converted bedrooms will receive a light clean at 12pm every day to remove used crockery and rubbish. A full clean, including bathrooms where applicable, will be done from 17:00 hrs every day. During both times, the room must be vacated. Meeting hosts in converted bedrooms can use the “DO NOT DISTURB” sign if they wish to decline the cleaning service during these designated times.
