All prices are listed in Euros (€) and are subject to German VAT at 19% (except advertising)
Why is VAT charged on my invoice?
As the IFEAT 2023 Conference location is Berlin the services take place in Germany and we are following the German authority’s advice to add VAT accordingly.
Please note that IFEAT is providing services only and not goods and it is a European registration and service cannot be exported. Therefore, VAT has to be added to all invoices.
The VAT “Reverse Charge” is applied to Conference advertising only as it is not a taxable transaction in Germany whilst all other services are taxable. You can however check with your tax advisor if it would be possible for you to claim back any German VAT.
Delegate, accompanying person, IFEAT Dinner & course tickets
IFEAT has exclusive use of the InterContinental Berlin from the 8th to 12th October.
Anyone without an IFEAT 2023 Berlin Conference Delegate Ticket, corresponding Day Ticket or Accompanying Person’s ticket will be not be allowed access to the hotel during this time.

IFEAT therefore urges all attendees who need one to APPLY FOR A VISA AS SOON AS YOU HAVE BOUGHT AND PAID FOR YOUR CONFERENCE TICKETS. Exhibition Booths
The exhibition will be held on the ground floor of the InterContinental Berlin in the Potsdam Ballroom. This is right next to the plenary room and a short walk from the networking areas.
Taking a booth allows companies to showcase their products and branding in a way that attending as a delegate or taking a meeting room doesn’t. It’s the chance to unlock new opportunities, identify new markets and position your company as an industry leader and key market player in front of the most important companies in the F&F industry.

- Booths cannot be reserved/held without an online booking
- Companies can select their preferred booth number/location at the time of booking
- Medium and large booths are available to purchase as space only (at the same rates), for companies to custom design and build their own booths (at company’s own cost, ONLY via IFEAT’s official contractor).
- Additional furniture, AV equipment, branding, etc can be ordered via IFEAT’s official
contractor at the exhibitor’s own cost - Large booths have sufficient space to be able to build a small meeting room on. This will be at the company’s own cost (ONLY via IFEAT’s official contractor)
- Companies can purchase more than one booth in adjoining locations
- Sub-letting or sharing of booths is not permitted
- Booths will be confirmed once payment has been received. You will then receive the details of IFEAT’s approved contractor and a request for further details.
InterContinental Hotel Meeting Rooms
This year, there are over 48 meeting spaces within the InterContinental Berlin, in eight different categories, for IFEAT Member companies to hire. Meeting spaces are offered to IFEAT Members only. If they do not sell out, they will be available to non-members.

For reference, the plenary and exhibition will be held in the Potsdam Ballroom on the ground floor, in between the registration area in the lobby and the networking space and meeting rooms in the Conference Centre.
Small rooms in the conference centre
- Located on the ground floor at the end of the conference centre which is adjacent to the networking space. All rooms have natural light.
- They will be set up as standard with 1 table, 4 chairs and a table for refreshments.
Medium rooms in the conference centre
- Premium location rooms on the ground floor of the conference centre adjacent to the networking space. All rooms have natural light.
- They will be set up as standard with 1 table, 4 chairs and a table for refreshments.
Medium rooms on the second floor
- Located on a dedicated conferencing floor of the west wing of the InterContinental, directly above the plenary and exhibition. Include a whiteboard and plasma screen. All rooms have natural light.
- They will be set up as standard with 1 table, 4 chairs and a table for refreshments.
Boardrooms in the networking space
- Centrally located on the ground floor of the networking space. These rooms do not have natural light.
- These rooms have a fixed board table that can not be moved and a table for refreshments.
Extra Large rooms
- Very large rooms located either on the ground floor of the conference centre, adjacent to the networking space or on the dedicated second floor conferencing floor above the plenary and exhibition. All rooms have natural light.
- They will be set up as standard with 1 table, 4 chairs and a table for refreshments.
Premium view rooms
- Located on the fourteenth floor of the west wing of the InterContinental with stunning views across Berlin. Exclusive access to this floor, with refreshments and lunch served in the luxurious Hugo’s restaurant, will only be for companies taking a meeting room or table and their IFEAT 2023 Berlin Conference Delegate guests (IFEAT will require an appointment list in advance to allow access). These rooms could also be used in the evenings for private functions (Sunday, Monday or Wednesday only – additional fees may apply).
- They will be set up as standard with 1 table, 4 chairs and a table for refreshments.
NEW! Premium view meeting tables
- A table and 4 chairs set up in a shared space on the fourteenth floor of the west wing of the InterContinental with stunning views across Berlin.
- Exclusive access to this floor, with refreshments and lunch served in the luxurious Hugo’s restaurant, will only be for companies taking a meeting room or table and their IFEAT 2023 Berlin Conference Delegate guests (IFEAT will require an appointment list in advance to allow access). Any private refreshments will need to be set-up on the meeting table.
Converted bedrooms
- Located in the east wing of the hotel, approximately a 5 minute walk from the conference spaces.
- Beds will be hidden (other furniture remains in the room) and they will be set up as standard with 1 table, 4 chairs.
Please note:
- IFEAT have exclusive use of the InterContinental Berlin from the 8th – 12th October and so no-one without an IFEAT 2023 Berlin Conference Delegate Ticket, corresponding Day Ticket or Accompanying Person’s ticket will be allowed access to the hotel during this time
- Meeting rooms will be allocated on a first come first served basis
- Exact rooms within the categories will be allocated by IFEAT and you will be notified of your allocated room name/number, along with confirmation of booking, once full payment has been received
- Within your confirmation will be the contact details of IFEATs approved contractor where you will be able to request changes to the set up and order additional equipment and any catering
- Meeting rooms cannot be reserved/held without an online booking
- Due to demand, only one meeting room per company is permitted, this includes regional offices
- Sub-letting or sharing of meeting rooms is not permitted
- Companies requiring more than one meeting room can be placed on a waiting list for a second room
- None of the meeting rooms can be further split down to make smaller rooms
- Official meeting rooms in the Conference space, all meeting rooms on the second floor and spaces in Hugo’s will all be covered by the Conference wifi. Meetings in converted bedrooms may have to upgrade
- Access to meeting rooms is approx. from 12:00 on Sunday 8th October – 17:00 on Thursday 12th October
- Access to meeting tables is approx. from 12:00 on Sunday 8th October – 17:00 on Thursday 12th October
- Access to converted bedrooms is approx. from 15:00 on Sunday 8th October – 17:00 on Thursday 12th October

+ When does the Early Bird registration rate end?
The Early Bird rate ends at midnight (BST) on 31st July 2023. From 1st August the standard rate will apply.
+ What is included in an Accompanying Person’s ticket and who can apply for one?
The Accompanying Person ticket includes access to the Welcome Reception and the Closing Banquet, lunches and tea and coffee on all Conference days. This ticket does not allow access to the Conference, exhibition, meeting rooms and/or networking areas.
The accompanying person ticket is valid for either a spouse/family partner and/or a son/daughter under 21 years of age. There can be a maximum of two accompanying persons per delegate.
Please note: Business partners do not qualify as Accompanying Persons.
+ When will I receive a confirmation for my purchase of a Delegate Ticket or any Conference Products (Sponsorship, Advertising, Meeting Room or Exhibition Booth)?
When one of the tickets is purchased, you will receive an automated system confirmation and/or pro forma invoice depending upon your payment method. Once payment is received into our account*, you will receive a PAID invoice.
*For credit card payments please allow 3-4 working days to receive this PAID invoice. If paying by bank transfer, your purchase is not fully confirmed until the funds are received, at which time you will receive the PAID invoice.
Please note: a Sponsorship/Advertising/Meeting Room/Exhibition Booth is not allocated until the payment has been received. It is not possible to reserve these items without full payment. A full confirmation email requesting additional information will be sent once payment is received.

+ What are the visa requirements for Germany?
We recommend that anyone who needs to apply for a visa does so as soon as they have booked and paid for their delegate tickets. As the world continues to return to normal after the COVID pandemic, delays in visa issues are a possibility, and it is the applicant’s responsibility to ensure that visas have been applied for in enough time. IFEAT has provided the below information but for the most up to date information please visit the government website for your country.
Germany, as a member state of the Schengen Area, permits the citizens of 62 countries to enter Germany visa free for the purpose of tourism/visiting and doing business, for periods shorter than 90 days within a 180-day period. If you are a citizen of one of the European Countries within the Schengen Area Scheme, you can travel to Germany without requiring a visa. The list of countries within the Schengen area can be found at https://www.germany-visa.org/schengen-area/
If you are a resident of the UK, and hold a full British Citizen passport, you do not require a visa for Germany unless staying over 3 months. For more information visit https://www.gov.uk/foreign-travel-advice/germany/entry-requirements

+ Can I choose the day(s) I want for Day Tickets?
Yes, you will be able to select the specific day(s) you want to attend when buying Day Tickets. Remember that is better value for money to purchase a full Delegate Ticket if you want to attend for more than 2 days.
+ Do you offer any discounts?
An “Early Bird” discount will automatically be included in any full Delegate Tickets purchased before 30th June 2023. The Early Bird Discount is not applicable on Accompanying Person or Day Tickets. IFEAT Members also benefit from an additional discount on all tickets and Conference products; if you are a Member please ensure you have logged in before purchasing any tickets or conference products.
+ Do you offer bulk ticket purchase discounts?
No. Bulk ticket discounts are not offered.
+ Can I purchase a separate or additional Closing Banquet ticket?
No, tickets for the Closing Banquet will not be for sale separately but are included in the full Delegate and Accompanying Person tickets.
If a spouse wishes to attend the Closing Banquet, they would need to purchase either a full Delegate or an Accompanying Person ticket which include access to the Closing Banquet.
+ Will the IFEAT 2023 Berlin Conference be a hybrid event?
No, it will only be in-person this year.
+ Will you use Whova app again this year?
Yes, we will use the Whova app for networking again this year. The Conference sessions will not be streamed to the platform this year because the event will only be in-person. There will also be no virtual exhibition booths. You can download it here: https://whova.com/download/
+ When will I have access to Whova?
10th July.
Whova allows access 90 days before the commencement of the Conference. Access will be available to all registered delegates from 10th July. Please note when registering you must tick "yes" if you want to be included on Whova (which is the delegate list). Only delegates who have paid in full will appear on the Whova app.
+ Will IFEAT give out a delegate list?
Whova is the live delegate list. Due to GDPR delegates’ email address and telephone numbers will not be made public through the delegate listing or otherwise. To further enable networking among delegates at the Conference, we will share delegate names, job title, company name, and country or city with other delegates, exhibitors, and sponsors via our secure networking service - the official IFEAT Conference mobile application Whova. Access will be available from 10th July.
If a delegate chooses to message another delegate, the message will be sent from the delegate’s profile on Whova. If a delegate chooses to reply, further communication will continue through the delegates’ chat or video calling function. The Whova app serves as a delegate list.
+ How can I upgrade my registration?
If you wish to upgrade from a Day Ticket to a full Delegate Ticket, please contact [email protected], quoting your invoice reference.
+ Do I need to bring a printed ticket?
Printed tickets are not issued. It is a good idea to have a copy of your final invoice with you when you arrive at the Conference.
